We have an exciting opportunity to rally together for a great event, and I'm thrilled to invite you to join our kickoff meeting tonight at 7:00 PM via Zoom to plan for the return of our beloved Crab Feed on February 17, 2024.
Our Crab Feed has always been a highlight of our community, and we want to ensure that this year's event is nothing short of extraordinary. To make that happen, we need your input, enthusiasm, and expertise. During this meeting, we will tackle the following crucial tasks:
1. **Setting the Ticket Price:** Determining the ticket price is the first step to ensure the success of our event. Your insights and suggestions will help us find the perfect balance between accessibility and profitability.
2. **Ticket Sales Strategy:** We need to discuss and agree on how we will sell tickets. Your creative ideas can make a significant difference in reaching a wider audience and maximizing ticket sales.
3. **Organization for Success:** Planning and execution are key to making the Crab Feed a smashing success. Let's collaborate and decide how we can organize ourselves efficiently to ensure that every detail is taken care of.
Your participation is invaluable, and together, we can make this year's Crab Feed the best one yet. Please mark your calendar for tonight at 7:00 PM and join us on Zoom using the following link: https://us06web.zoom.us/j/86879079238?pwd=IiCFrBLysDsul6Ac0BaVc99v6I7fP7.1

Thank you for your dedication to Rotary and your commitment to making our community a better place. Your voice matters, and your ideas are the keys to our success. Together, we can make this Crab Feed an event to remember.

All members are welcome, team leads, please let me know if you can't make this important planning meeting. Crab Feed Information Everyone Should Know
Start at the public website: https://www.eventcreate.com/e/fairoakscrabfeed
The top of the screen has links to the main sections.
About provides the basics: what, when, where
Auction Items the silent auction website, which currently has 20 teaser placeholders, one for each auction category. There will be 100 auction items, and a few items will be added each week that are unique or bargains to generate interest, with most being listed the day of the event, so guests don’t price shop before the event. With your help, members and local businesses will donate or consign about half the inventory. In the worse case, I will get all the auction items from fundraising dealers.
Sponsors shows the current sponsors, along with a link to learn more. Click the learn more link to see the presentation I am using and would like you to use when asking for donations. It would be best for members with existing relationships with local businesses to ask for the donations. No need to ask about program ads or sponsorship levels. The bigger the donation, the higher the sponsorship level, the more recognition the donor will get. Cash is always best, but we are also looking for a few to consign products or experiences.
Buy tickets the link to buy crab feed seat tickets (general admission or premium). Starting Feb 1, it will also offer fun draw and drink tickets, with the goal of creating a faster check in, and the ability to drink and bid earlier.
Details just more general information about the event and the auction
FAQs even more information about the event and the auction (like being able to bring your own wine)
Donate the online alternative to the paper triplicate form, can be used for any person or business that wants to donate
Information The Leadership Team Should Know
Start with the plan:
Everything the leadership team needs can be found in this online document, that updates almost daily. It has a table of contents that allows you to jump into the section you are interested in, and the ability to search for any details you want. I don’t expect everyone on the leadership committee to read this document cover to cover. I do hope you will make sure the area(s) they handle are correct and complete.
Committee Specific Information
There are several other workbooks, forms and documents to track specific information, such as silent auction details, marketing details, ticket details, sponsorship letters, donation tracking, budget, and expense tracking, etc. If you think you need this level of detail, contact me so I can get you to the right person and information.
